Approving, Signing and Delivering a Report

Approval is the point at which a draft becomes your firm's report. Nothing leaves the workspace before it.

1. Approve and sign

With no errors in the Checks panel, type your name in the signature box and click Approve and sign. The report's status becomes approved, the document is locked, the audit log records who approved it and when, and the PDF renders without the draft mark. The signature name prints in the qualifications and on the cover letter's reviewer line with the licence line from Firm settings.

Nothing is charged at approval. The fee was settled when the job was first drafted; approving, rendering and delivering carry no further charge. See pricing and billing.

2. Download

Download PDF on the report page. The file is also kept in your storage under the job for as long as the job exists.

3. Email the client

The delivery panel's email form sends a message with a download link to the addresses you enter, from your firm's name via Baseline PCR. The message and the recipients are recorded as a delivery in the audit log.

4. Share link

Create share link produces an unguessable URL valid for thirty days (the default) that opens the PDF without a sign-in. Anyone with the link can open it until it expires; treat it like an attachment. Active links are listed in the delivery panel and any of them can be revoked, which stops the URL working immediately.

5. Reliance letter

The reliance-letter form drafts a letter extending reliance to a named party (typically the lender) for the property and report date, on your letterhead, for you to review and send. It is your firm's letter; edit it as you would any other.

Versions

An approved report cannot be edited. To reissue with a correction, click Draft new version on the job page: the engine re-runs on the job's current evidence and notes (unchanged steps come from cache at no cost), producing report v2 for review. New versions of a paid job are free; the earlier version and its deliveries remain in the record.

What the client receives

A PDF with your cover, transmittal letter, table of contents with page numbers, executive summary with the systems summary and Table 1, the system sections, document review, the cost sheets on landscape pages, out-of-scope, qualifications, limiting conditions and the photograph appendix. It carries your firm's name, address, licence line and logo; Baseline PCR does not appear on it.
